The role of the Receptionist is the first point of contact for all visitors, parents and students to the School. The Receptionist plays an important role in ensuring the smooth operation of many important administrative tasks, as well as managing incoming communications. We have 4 reception desks across Junior School and Senior School. Reception hours are 8am - 5pm.
Core Duties and Responsibilities:
Receive and welcome all visitors to the School and assist with the sign-in process, where requested.
Monitor visitor access and issue visitor passes (Swiped On program)
Contact staff who have visitors to the College.
Answer all incoming calls, redirect calls as appropriate, and transfer calls to voicemail when staff member is unavailable.
Monitor and follow up on School Reception emails.
Distribute incoming afternoon mail to staff via pigeon-holes.
Prepare and complete appropriate paperwork for outgoing mail collection from Australia Post.
Reconcile mail/courier accounts for processing and payment.
Organise and book couriers, as requested.
Book taxis for staff and visitors, as requested (online cab booking); distribution of cab charges as necessary.
Access Synergetic student databases for parent information, cocurricular sports, houses, classes etc.
Receive instructions from the principal’s office via the Principal’s Personal Assistant relating to all media enquiries and other messages.
Liaise with the Campus Security Officer and Site Manager on the arrival of Emergency Services vehicles (i.e. Police, Ambulance, Fire Brigade)
Any other duties as directed by the Director of People and Culture.
Student Services:
Student Services provides high quality customer service to students and their families and is responsible for providing comprehensive support to the Director of Administration. Student Services hours are 8:15am - 3:45pm, Monday - Friday (term time only)
Core Duties and Responsibilities:
Provide frontline customer service to students, managing student records and data entry.
Respond to students, staff, visitors, and callers in a friendly and helpful manner, ensuring all enquiries are answered promptly and referred to the most appropriate person.
Ensure students follow procedures when signing in and out of the College.
Ensure Year 12 students have permission (via Consent 2 Go to leave the College premises during the school day. All sign out and sign in procedures are to be followed by students.
Enter and update daily student absences
Provide absenteeism reporting as requested
Ensure all absences are accounted for, liaising with parents/carers and teaching staff after parent/carer notification, follow up is required on absences
Manage student sign in and sign out on Passtab & respond to absence queries
